This solution will utilise artificial intelligence (LLM) to enable the automated generation of an inventory of the Chamber of Deputies’ collections.

Objectives

The aim of this project is to implement a tool based on artificial intelligence (AI) technologies to enable the cataloguing of the CHD’s collections. The expected outcomes include the enrichment and enhancement of metadata reliability, the identification of sensitive data to strengthen confidentiality management and regulatory compliance, and the improvement of the use and promotion of the documentary collections. The tool to be implemented should serve as a decision-making aid for archivists, without ever replacing their expertise or their final approval.

Challenge details

This initiative forms part of a wider context of increasingly stringent regulatory requirements, particularly following the Act of 17 August 2018 on archiving, which imposes stricter controls over preservation conditions, restriction periods and the procedures for making archives accessible. The CHD must have full control over its entire archive; to this end, it is essential to have a comprehensive and relevant description of it. Given the substantial volume of records (approximately 4.3 million documents), carrying out this descriptive and identification work manually is not a viable option.

Through this project, CHD aims to improve the operational efficiency of its staff, to maintain a reliable inventory of sensitive data contained within the documents to meet current legal obligations, and to reduce the costs associated with processing and managing its digital archives. The scope of DataQuest is limited to electronic archives, whether they are natively digital or derived from the digitization of paper documents.
